1. Overview & Commitment
At Kelra ("we", "our", or "the System"), we respect the confidentiality of retail merchants, cashiers, store owners, and their end customers. This Privacy Policy details the principles governing how information is collected, processed, and maintained within our Point of Sale software, inventory modules, sales ledger, and customer management system.
2. Data We Collect
To deliver seamless point of sale checkout, inventory control, automated invoice generation, and expense tracking, the system processes the following data categories:
Usernames, email addresses, hashed passwords, and staff role assignments (Admin, Manager, Cashier) to manage access rights.
Product names, barcodes, categories, stock quantities, cost prices, selling prices, minimum alert thresholds, and product images.
Invoice numbers, timestamps, purchased items, quantities, payment methods (Cash, Card, QR), tax/VAT calculations, and cashier attribution.
Customer names, phone numbers, store credit balances, purchase histories, and supplier contact & purchase order details.
3. How Your Data is Used
Your store's operational data is utilized solely for:
- Processing Point-of-Sale Transactions: Calculating cart totals, applying discounts, updating live inventory counts, and printing thermal receipts.
- Financial & Profit Reporting: Generating daily sales charts, cost of goods sold (COGS), gross margins, and expense breakdowns for business owners.
- Automated Stock Alerts: Alerting managers when critical items fall below minimum thresholds to prevent retail stockouts.
- Customer Ledger Accounting: Keeping accurate track of customer store credits, receivables, and purchase frequency.
4. Store Data Ownership
You retain 100% full ownership of all business data created in your Kelra instance. We claim no intellectual property or proprietary interest in your catalog, sales figures, customer rosters, or pricing configurations.
You are free to export your complete database or individual tables (CSV, Excel) whenever required for tax filings, auditing, or migration purposes.
5. Storage & Database Security
Kelra utilizes an ACID-compliant local SQLite or MySQL relational database designed for resilient retail operations:
- Password Hashing: User passwords are never saved in cleartext. They are hashed using industry-standard PBKDF2 with SHA-256 and unique salt strings.
- Session Isolation: HTTP cookies and session tokens prevent session fixation and unauthorized access across staff terminals.
- Offline Resilience: In local desktop/server deployments, transactions commit directly to your local hardware storage, ensuring business continuity during internet downtime.
6. Staff & Customer Privacy
Store administrators maintain full control over role permissions. Cashiers are restricted to POS Terminal checkout and cannot view confidential net profit margins, wholesale purchase costs, or supplier contacts.
Customer records (such as phone numbers collected for digital receipts or loyalty credit) can be edited or anonymized directly by the store administrator upon customer request.
7. Data Export & Deletion
You have the right to request a complete archive or deletion of your store database. To backup your system manually at any time:
db.sqlite3 or run python manage.py dumpdata > backup.json anytime.
8. Contact & Compliance
If you have questions about this Privacy Policy, your store data, or security practices, contact our support team:
